How to compare AI leasing tools for multifamily

There's no single best AI leasing tool. There's the one that fits how your team already works. You've probably sat through four of these. They all open with a text thread. A renter asks about pet policy at 11pm, the AI answers in seconds, everyone nods.

That demo proves the easy 20%. Pet policy, office hours, parking. Every tool in this category clears that bar, which is why the demos are interchangeable.

What separates them is the other 80%. A renter with a co-signer question, a voucher question, a broken lease three years ago, a move-in date that doesn't exist in your availability. That's where tools either keep the conversation moving or dump the renter into a form and call it a handoff.

So the questions worth asking are the ones about failure, not features.

Which multifamily system has the best AI features?

The honest answer is that "best" depends on what you're solving for, and most operators are solving for one of three things:

  • Coverage. Leads dying after hours and on weekends. You need response, not intelligence.
  • Conversion. Leads getting answered but not moving to a tour. You need qualification and follow-through.

4. How fast is the response, and does that hold at 2am?

"Proprietary AI" is not an answer. Ask which model, which cloud, and who's accountable for how renter data is handled. If they can't answer plainly, that tells you something.

Ask them to show you what happens when a renter asks about schools, neighborhood demographics, or whether a building is family-friendly. This is the highest-risk conversation in leasing and the fastest way to see how carefully a tool was built.

7. What does it write into my CRM?

An AI that has great conversations and leaves no usable record behind has moved your problem, not solved it.

8. What can I actually see in reporting?

Call volume and sentiment across properties. Where conversations transferred and why. Which properties have agents available and which don't. If reporting is one dashboard of totals, you'll never find the leak.

9. What does month six look like?

Ask for a customer who's been live over a year. Every tool works in week one.
